Privacy Policy

Chase Hyson, LLC
Effective date: October 22, 2026

Chase Hyson, LLC ("we," "us," or "Chase") runs www.chasehyson.com. Through this site we offer massage therapy and bodywork in Morgantown and Romney, West Virginia, holistic life coaching (in person and online), yoga, Ayurvedic lifestyle services, programs and challenges, events, memberships and pricing plans, gift cards, and a newsletter. This policy explains what personal information we collect, how we use it, who we share it with, and the choices you have.

1. Information we collect

Information you give us

• When you book a session: our booking form asks for your name, email address, phone number, and mailing address, and gives you space to add a message. It also includes checkboxes where you confirm that you are medically clear to receive massage and bodywork, and where you can choose optional cupping therapy or the 5 Needle Protocol (ear), a complimentary add-on, and confirm that you are medically cleared for them. We do not use separate intake forms. Your booking, your checkbox answers, and any session notes are kept in our Wix booking and contact records.

• When you buy something (a session, pricing plan, membership, gift card, program, or event ticket): your name, contact details, and purchase details. You can pay by card online when you book through our website, or in person by cash or card. All card payments, online and in person, are processed by Square. We never see or store your full card number.

• When you create a member account: your name, email address, password (stored by Wix), phone number if you add it, and your activity in your account, such as programs, challenges, and groups you join.

• When you message us: what you send through the website chat (Wix Chat), by email, or by text if you text Chase first.

• Coaching: what you share with us in coaching sessions and any notes we keep. We never record coaching sessions.

Information collected automatically when you visit the site

• Device and usage information: IP address, browser and device type, pages viewed, time spent, referring site, and approximate location based on your IP address. Our website host, Wix, and our analytics provider, TWIPLA (Visitor Analytics), collect this.

• Cookies and similar technologies: see Section 6.

• Email engagement: our newsletter platform (Wix Email Marketing) records whether you opened an email and which links you clicked.

We do not knowingly collect Social Security numbers, driver's license numbers, or insurance member IDs through this website.

2. How we use information

• To schedule, provide, and follow up on your sessions, programs, and purchases.
• To provide services safely and appropriately. We use the medical-clearance and treatment choices you give on the booking form, and anything you tell us about your health, only for this purpose and to keep the client records that West Virginia massage therapy rules require.
• To communicate with you about your bookings, account, and questions, including automatic appointment reminders by email and text.
• To send our newsletter (see Section 3).
• To run, secure, and improve the website, and to understand how visitors use it.
• To comply with law, resolve disputes, and protect our rights and our clients' safety.

We do not sell your personal information, and we do not share it with anyone for advertising. We never use the information you give on the booking form for advertising.

3. Our newsletter

Everyone who books a session with us online receives our newsletter. Every newsletter has an unsubscribe link at the bottom, and you can unsubscribe anytime. You can also unsubscribe by emailing coaching@chasehyson.com. If you unsubscribe, you will stop receiving the newsletter but will still get emails about your bookings. Our newsletter does not include information about the services you booked or your health.

4. Text messages and phone

• Booking reminders: when you book, Wix sends automatic appointment reminders and scheduling texts to the phone number you provide. These come from a Wix number, not from Chase's personal phone.
• Personal texts: Chase texts only clients who have texted him first, and only about scheduling and sessions.
• Message frequency varies. Message and data rates may apply. Reply STOP to any text to opt out. We will keep contacting you by email.
• Text messages are not encrypted, so please don't send detailed health information by text.
• We do not take phone calls. Please email us.
• We don't send marketing texts, and we don't share your phone number with anyone for their own marketing.

5. Client records, session notes, and recordings

• Massage and bodywork clients: As a West Virginia Licensed Massage Therapist, Chase keeps client records confidential. These include your booking details, your booking-form answers, any session notes, and payment records. They are kept for at least four years, as the West Virginia Massage Therapy Licensure Board requires. Records are stored in Wix, our booking and contact system. If a note is ever made on paper, it is kept secured and shredded when no longer needed. Electronic records are securely deleted when no longer needed.

• Coaching clients: any coaching notes are kept private, stored securely, used only to support your coaching, and deleted when no longer needed. We delete them sooner if you ask, unless the law requires us to keep them.

• Recordings: we never record coaching sessions.

• Confidentiality limits: we keep what you share in sessions confidential, except when you give written permission, when the law requires disclosure (for example, reporting suspected abuse or responding to a court order), or when we believe there is a serious and imminent risk of harm to you or others.

• HIPAA: we do not bill health insurance, and we do not provide superbills or other insurance claim forms. Because of this, we believe we are not a "covered entity" under the federal HIPAA law, and we do not claim to be HIPAA compliant. We still protect your information as described in this policy.

6. Cookies, analytics, and Do Not Track

• Essential cookies: our website host, Wix, sets cookies that keep the site, bookings, member log-in, and checkout working and secure.
• Analytics: TWIPLA (Visitor Analytics) helps us understand how many people visit and which pages they use. It may use cookies or similar technologies to do this.
• Advertising: we do not use advertising pixels or advertising cookies.
• Your choices: you can block or delete cookies at any time in your browser settings. If you block essential cookies, some parts of the site, such as booking, log-in, and checkout, may not work.
• Do Not Track and Global Privacy Control: our site does not currently respond differently to browser Do Not Track signals. We do not sell personal information or share it for cross-site advertising, so we have nothing for a Global Privacy Control signal to opt you out of. We do not allow third parties to track you across other websites through our site.

7. Who we share information with

We share information only as described here:

• Service providers who run parts of our business for us:
Wix.com: website hosting, bookings, online checkout, appointment reminders by email and text, member accounts, chat, forms, and email marketing.
Square: card processing, online at checkout and in person.
  TWIPLA (Visitor Analytics): website statistics.
Google: the map on our home page, website fonts, and Google Firebase sign-in services used by Wix Chat. Google receives your IP address when these load.
Zoom or Google Meet: online sessions.
These providers may use your information only to provide their services to us, except as their own privacy policies describe for data they collect directly. When you join an online session, the privacy policy of Zoom or Google Meet also applies to your use of that platform. You can read their policies here:
  Wix: https://www.wix.com/about/privacy
  Square: https://squareup.com/us/en/legal/general/privacy
  Google, including Google Meet: https://policies.google.com/privacy
  Zoom: https://www.zoom.com/en/trust/privacy/privacy-statement/
  TWIPLA: https://www.twipla.com/en/privacy-policy

• People you ask us to share with, such as your physician, if you ask us in writing.

• When the law requires it or safety demands it, for example a valid subpoena or court order, a licensing-board inquiry, or to prevent serious and imminent harm.

• In a business transfer, if the practice is sold or merged. Your information would then remain subject to this policy.

We do not share your information with The Lotus Way or any other organization for their own marketing.

8. How long we keep information

We keep information only as long as we need it for the purposes above:
• Massage client records: at least 4 years.
• Purchase and tax records: as tax law requires, generally up to 7 years.
• Booking contact details: for as long as you remain an active client, plus 4 years.
• Newsletter data: until you unsubscribe. We keep a record of your unsubscribe so you aren't added back.
• Website analytics data: for Wix's and TWIPLA's standard periods.

9. Children and minors

• Online: our website is not directed to children, and we do not knowingly collect personal information online directly from children under 13. Bookings for anyone under 18 must be made by a parent or legal guardian. If you believe a child under 13 has given us information online, email coaching@chasehyson.com and we will delete it.

• Parents' rights: a parent or legal guardian can review the information we hold about their child, ask us to delete it, or refuse to allow further collection or use. To do this, email coaching@chasehyson.com. We may need to confirm that you are the child's parent or guardian. We may keep records the law requires, such as massage records, and will tell you if so.

• Sessions with minors: we provide massage and coaching to clients under 18 only when a parent or legal guardian books the session and gives consent.
For massage, a parent or guardian stays in the room during the session, or, if they are not in the room, the door stays open.
We do not coach minors online. Coaching for anyone under 18 is scheduled in person only, with a parent or guardian present.

10. Your choices and rights

Wherever you live, you may ask us to:
• tell you what personal information we have about you and give you a copy;
• correct it;
• delete it (we may keep records the law requires, such as massage client files for 4 years, and will tell you if so);
• stop sending you our newsletter (use the unsubscribe link in any newsletter, or email us) or texts (reply STOP); and
• withdraw any consent you gave us.

How to ask: email coaching@chasehyson.com with the subject "Privacy Request," or write to the address in Section 13. We may need to confirm your identity first. We respond within 45 days. If we decline a request, we'll explain why. You can appeal by replying with "Privacy Appeal" in the subject, and we'll respond to an appeal within 60 days. If you're still not satisfied, you may contact your state Attorney General. We will never charge you or treat you differently for using these rights.

11. Security

We use the security features of Wix and Square, including encrypted HTTPS connections and card processing that meets card-industry standards. Only Chase can see client information. No one else has access to our accounts, and we use strong passwords. No system is completely secure. If a data breach affects your information, we will notify you as the law requires.

12. Changes to this policy

If we change this policy, we will post the new version on this page with a new effective date. If the change is significant, we will also tell clients and subscribers by email before it takes effect.
